REUNION  BYLAWS-

 

​BEVLY BEVELY BEVERLY FAMILY REUNION BYLAWS

Article I.     Name:

 

                  Bevly, Bevely, Beverly Family Reunion

 

Article II.    Purpose:

                 

The purpose of this organization is to promote harmony and bond of kinship

among our family members and to encourage continuous respect and pride to 

generations of our family heritage. Social unity is promoted within this

organizational process.

 

Article III.   Members:

 

Section 1. 

The Committee membership of this organization shall be of family members that have previously hosted a reunion for the Bevly, Bevely, Beverly Family.

Section 2.

The Subcommittee membership of this organization shall be family members of the Bevly, Bevely, Beverly Family.

Section 3. 

The Biannual Bevly, Bevely, Beverly Family Reunion dues shall be set by the Executive Committee. (The Executive Committee consist of officers) 

 

Article IV.    Officers:

 

Section 1. 

The officers of this organization shall be Chairperson, Treasurer, Secretary and shall be elected by family members of the host city's family reunion by a voting process. Any two or more offices may be held by the same person, except the office of the Chairperson.

 

Section 2. 

Term of office. Officers will serve for two years and can serve in succession. An Officer shall serve until he/she is ready to relinquish their post or family members vote them out of office. In which case, a successor shall be named.

 

Article V.    Duties of Officers:

 

Section 1. 

The Chairperson shall be the principal officer of the organization and shall supervise and control all the business and affairs of the organization. He/she shall preside at all meetings of the organizations. He/she may sign with the Secretary, certificates or any deeds or other instruments which the organization has authorized to be executed; and in general perform all of the duties incident to the office of Chairperson and such other duties as may be prescribed by the organization from time to time.

 

Section 2. 

The Secretary shall attend the meetings of the organization and record the minutes of meetings; see that written notices are given; keep a register of addresses of each member and perform all duties incident to the office of Secretary and such other duties as may be assigned by the Chairperson or organization.

 

Section 3.

The Treasurer shall be the principal accounting and financial officer and shall be responsible for the maintenance of all funds for the organization; receive and give receipts for monies due and payable to the organization from any source whatsoever and deposits all such monies in the name of the organization in such bank as shall be selected by the organization. He/she shall render to the membership an account of all his/her transactions as Treasurer and perform all of the duties incident to the office of Treasurer and such duties as maybe assigned by the Chairperson or organization.

 

Article VI.  Election of Officers:

 

Section 1.

The election of officers shall be held whenever a vacancy is created.

  • Voting for officers shall be done by a show of hands at the business meeting conducted at the close of the upcoming reunion.

  • The election of officers shall be an agenda item of the family business meeting.

  • Only voters at the current reunion can be selected from the voting process for the upcoming host for the family reunion.

  • A vote will be decided at each reunion to determine our future host and city location.

  • Voting of this organization shall be family members of the Bevly, Bevely, Beverly Family.

 

Article VII. Meetings:

 

Section 1. Committee meetings.

The committee meetings  will be held at a time convenient for all members in mind. Regular meetings will be scheduled throughout the year in preparation for the family reunion by web/internet and telephone conferencing. At least three (3) meetings will be scheduled annually for the Committee and TBD for all Sub Committees.

 

Section 2. Business meetings.

A business meeting shall be held at the conclusion of every Bevly, Bevely, Beverly Family Reunion. The host or chairperson shall determine the time and place. At this meeting all family members will be in attendance to vote on the upcoming reunion city location and to elect/re-elect Committee officer positions.

 

Section 3.

A quorum shall consist of family members present at the announcement time. The actions taken by those present at a meeting shall be the act of the organization.

 

 

Article VIII. Order:

 

The proceedings and deliberations of this organization shall be governed by the Bevly, Bevely, Beverly Family Reunion by-laws.

 

 

Article IX. Miscellaneous:

 

Section 1. Contracts

The organization may authorize in writing any officer to enter into any contract or execute and delivery any instrument in the name of and on behalf of the organization.

 

Section 2. Check, Drafts, Etc.

All checks, drafts or other orders for payment of money, or other evidence of indebtedness issued in the name of the organization shall be signed by two officers of the organization.

 

Section 3. Deposits

All funds of the organization not otherwise employed shall be deposited from time to time to the credit of the organization in such banks as the organization may select.

 

Section 4. "Seed" Money/Dues

All monies collected in each proposed reunion site, as startup capital shall be reimbursed after the family reunion expenses have been met. Any monies left over shall remain in the family reunion account to be used as "seed" money for the next hosted reunion. Each year every family member will be asked to submit $25.00 for Family due payments to the organization in efforts to build capital for "seed" monies and to assist with aiding a family to attend the reunion event.

 

Section 5. Contents of Reunion

Every "Bevly, Bevely, Beverly Family Reunion" shall include in its agenda a business meeting, family history update (highlight-a-clan), family and worship time, and recreation. These items shall be covered over a period of three or more days-Friday, Saturday, and Sunday. There shall be souvenirs available at all reunions to be decided upon by the host organization.

 

Section 6. Notification

Every known family member shall be informed either in writing, email, family website or social media by the host city of plans for the "Bevly, Bevely, Beverly Family Reunion". Notification of this event will be required to be submitted to the family more than 12 months in advance of the upcoming reunion. Each host group shall acquire a list of family members from the prior family reunion host. This mailing list shall be updated at every reunion by the committee and sent to the next reunion site as a new mailing list.

 

Article X. Contingency Planning

In the event our reunion encounters any predetermined risk that materializes and makes the initial planning efforts impossible to achieve, the Reunion will be required to protect the initiatives of the business operations, to move forward to minimize any disruptive scenarios and will follow a pragmatic set of actions as follow in efforts to maintain or improve the initial planning and execution of the reunion event(s).

 

Article XI. Contingency Planning Execution:

In the event, the following contingency plan will be managed for all business affairs of the Bevly, Bevely, Beverly Family Reunion:

Section 1.  Execute Planning Team

The Committee members will meet to discuss planning to alleviate and mitigate risk(s).

Section 2.  Assessment Preparation Ready

Committee members will begin to move forward with responsibility for the coordination of all reunion efforts and planning initiatives.

Section 3. Notification

An announcement will be made to the Family on the next course of action(s) to ensure the success and stability of the planning efforts for the biannual reunion event.

Article XII. Amendments:

These by-laws may be amended or altered at the regular Bevly, Bevely, Beverly Family Reunion business meeting by a simple majority vote of members present provided the proposed amendments have been submitted to the Chairperson in writing before the meeting.

 

Article XIII. Parliamentary Procedure:

The rules contained shall govern all business affairs of the Bevly, Bevely, Beverly Family Reunion.
